Terms of Service

Prepaid API infrastructure, self-serve access, and the operating terms for PolDex extraction surfaces.

1. Acceptance

By accessing or using the PolDex API, you agree to be bound by these Terms of Service. If you are using PolDex on behalf of an organisation, you represent that you have authority to bind that organisation. If you do not agree, do not use the service.

2. Description of Service

PolDex is a prepaid API-native infrastructure service that extracts structured, evidence-backed data from insurance documents through proof-gated schema families. PolDex does not provide a customer dashboard, workflow workspace, or managed services. The API key is the control surface; processor, playground, signed intake, and email intake are narrow self-serve processing surfaces built on the same API rails.

3. API Key Responsibilities

Your API key is your credential. You are responsible for:

  • Storing your API key securely in a secrets manager or environment variable
  • Not committing your API key to version control
  • Not sharing your key in logs, Slack, tickets, or public repositories
  • Rotating your key immediately if you suspect it has been compromised
  • All API calls made using your key, whether or not you authorised them
  • PolDex stores only a hashed version of your key. Recovery is not possible. Rotation is self-serve via POST /v1/keys/rotate.

4. Prepaid Credits and Payments

Access to extraction capacity is governed by a prepaid credit ledger.

  • Credits are purchased in advance and are non-refundable except as required by law
  • A credit hold is placed at 202 Accepted and captured on successful delivery
  • Internal failures release the hold - you are not charged for PolDex errors
  • Insufficient credits result in 402 Payment Required - no partial processing occurs
  • Credits do not expire
  • Enterprise buyers may preload credits by contract under separate terms

5. Acceptable Use

You may not use PolDex to:

  • Process documents you do not have the legal right to submit
  • Probe, attack, or reverse-engineer PolDex infrastructure
  • Attempt to circumvent credit enforcement
  • Resell PolDex API access without a written reseller agreement
  • Submit documents containing personal health information or regulated financial data without applicable compliance controls in place on your side

6. Customer Data and Content

You retain all rights to documents and data you submit for processing. By submitting content, you grant PolDex the right to process that content solely for the purpose of fulfilling your extraction request.

PolDex will not use your submitted content to train, fine-tune, or improve models. Customer content is governed by our Privacy Policy and, for enterprise buyers, the Data Processing Agreement.

7. Intellectual Property

PolDex retains all rights to the PolDex API, infrastructure, schemas, extraction models, and platform. Nothing in these terms transfers intellectual property rights to you except the limited right to use the API as described herein.

8. Service Availability and Changes

PolDex targets high availability but does not guarantee uninterrupted service. We may update the API, deprecate endpoints, or modify schemas with advance notice. Breaking changes to v1 endpoints will be communicated at least 30 days in advance via the Changelog and to registered API key holders.

9. Disclaimers

THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTY OF ANY KIND. POLDEX DOES NOT WARRANT THAT EXTRACTION OUTPUT IS COMPLETE, ACCURATE, OR FIT FOR ANY PARTICULAR PURPOSE. OUTPUT SHOULD BE VALIDATED AGAINST SOURCE DOCUMENTS FOR HIGH-STAKES DECISIONS.

10. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, POLDEX'S LIABILITY FOR ANY CLAIM ARISING FROM USE OF THE SERVICE SHALL NOT EXCEED THE AMOUNT PAID BY YOU IN THE 12 MONTHS PRECEDING THE CLAIM. POLDEX IS NOT LIABLE FOR INDIRECT, CONSEQUENTIAL, OR PUNITIVE DAMAGES.

11. Suspension and Termination

PolDex may suspend or terminate access for: non-payment, acceptable use violations, fraud, or regulatory requirement. We will provide notice where feasible except in cases of security emergency or severe violation.

12. Governing Law

These terms are governed by the laws of Delaware, United States, without regard to conflict of law principles. Disputes shall be resolved in the federal or state courts located in Delaware.
